Job Summary:
The Administrative Services Manager will coordinate and perform a diverse set of support tasks, managing both staff and property, to ensure the organization and its facilities have the staff and resources needed to operate smoothly and efficiently.
Supervisory Responsibilities:
- Hires and trains clerical and administrative staff.
- Organizes and oversees the schedules and work of departmental staff.
- Conducts or assists with performance evaluations that are timely and constructive.
- Assists with discipline and termination of employees as needed and in accordance with company policy.
Duties/Responsibilities:
- Ensures that buildings, grounds, equipment, and supplies are maintained and serviced.
- Oversees the acquisition, distribution, and storage of company supplies and shared support services such as mailing, printing, and copying; security; and cleaning and maintenance.
- Supports other related, varying needs of assigned departments and staff.
- Creates and administers budgets for supplies, equipment, and contract services.
- Identifies opportunities for cost savings, better efficiency, or other improvements; recommends and implements policy or process changes as appropriate.
- Monitors any construction or renovation projects to ensure plan requirements and applicable health, safety, and legal standards are met.
- Collaborates with architectural, engineering, design, and planning teams to create functional and productive work and other business spaces.
- Identifies opportunities for cost savings in assigned areas; recommends and implements policy or process changes as needed.
- Supports the various, related needs of assigned departments.
- Prepares, negotiates, analyzes, and reviews contracts for equipment, supplies, materials, services, and products.
- Prepares and reviews departmental, maintenance, and other recurring schedules and reports for accuracy and efficiency.
- Oversees the disposal of unclaimed or surplus property.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent communication and interpersonal skills.
- Superior ability to identify and solve problems and to conduct cost-benefit analyses.
- Ability to solve basic math problems.
- Proficient in Microsoft Office Suite or similar software.
- Knowledge of basic administrative and clerical systems and procedures.
- Working knowledge of basic business and management principles as applied to resource allocation, leadership technique, staff and resource coordination, strategic planning, and human resource modeling.
Education and Experience:
- Bachelors degree in related field.
- Three to five years of related experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Ability to navigate various departments and locations of the company.
